How to use the Day Totals Report type

From version 6.8.10 upwards, Jarrison Time is able to generate a daily totals report based on department or other employee field selections.

In this article we’ll look at how to setup a new daily totals report. This report will show NT hours broken down by the Class field: contractors, temp, and permanent staff. Overtime, or any other time categories (or counters) could be used. The example will first look at grouping only by Department, then include Site. Whichever employee field suits your needs would naturally need to be correctly populated and assigned in Jarrison Time.

Open the Report Creator (View > Report Creator). Click Add on the lower left to create a new report, and select Day Totals as the Report Type. You can add other report info as desired.

On the Details tab, date, department, and NT will be added. The time category or counter must be added as many times as there are reporting options, in this case there will be three lines of NT (permanent, contractor, temp).

Each NT line will be a trigger and have the Only If Condition applied, for our purposes if there is any amount of NT it will be sufficient as trigger. The Where Condition will also be selected appropriately, in this case Class is selected as that is what we want to split our reporting category by. The first NT line will provide Contractor time, hence they are selected.

The second NT line is the same as the first, but with the Class selection changed to Permanent, to report NT of Permanent employees.

The last line has Temp as the Class selection.

The Totals tab would only sort by Department.

Next we’ll add Site as a sorting level. First by adding it as a regular column on the Details tab, and then also as first sort option on the Totals tab in Report Creator.

The above changes result in output similar to below, reporting NT totals split by Class, sorted by Site then Department.

Access Control

Access control refers to the restriction of people’s ability to clock on biometric devices based on location and/or time. Advanced access control includes anti-passback and zone sequencing.

Access Groups

Access Groups in Jarrison Time are combinations of Devices and Time Zones, used to determine on which devices and at which times members of the Access Groups may clock. Access Groups also facilitate restrictions based on too much or too little clocking in specified time-frames.

Access Groups can by synchronized or imported by Third-Party Import, or by users.

Access Zone

In Jarrison Time an Access Zone is how devices are grouped together to form logical zones for the purposes of access control. The option is available with the JT Live module.

Adjustments (Manual Adjustments)

Adjustments are the method of covering absence of time by employees in Jarrison Time. Examples of adjustments would be Annual leave and Sick leave. Adjustments are typically applied by a user via Daily Details as needed, or can be imported from file. It’s very important that Adjustments are correctly configured and applied as paid or unpaid. (Unpaid will result in Short Time.)

Anti Passback

Anti Passback is a form of access control where people are restricted from clocking on the device most recently clocked on, until they have clocked at another device.

Approval Bypass

Approval Bypass is a feature of Jarrison Time Approvals that allows for the first approval tier to be approved without any exceptions being cleared.

Approvals

Approvals are a system-wide setting that forces users to correct Exceptions and then lock periods from further editing, ready for submission to payroll.

Jarrison Time allows for up to three tiers of Approvals: Daily Summary (timesheet), Pay totals, Department totals. Starting at timesheet level, each tier needs to be approved before the next one can process.

Area

An Area in Jarrison Time refers to a GPS location with a set radius, which designates a permitted T&A clocking area for JT Clock users.
