Access control refers to the restriction of people’s ability to clock on biometric devices based on location and/or time. Advanced access control includes anti-passback and zone sequencing.
Access Groups in Jarrison Time are combinations of Devices and Time Zones, used to determine on which devices and at which times members of the Access Groups may clock. Access Groups also facilitate restrictions based on too much or too little clocking in specified time-frames.
Access Groups can by synchronized or imported by Third-Party Import, or by users.
In Jarrison Time an Access Zone is how devices are grouped together to form logical zones for the purposes of access control. The option is available with the JT Live module.
Adjustments are the method of covering absence of time by employees in Jarrison Time. Examples of adjustments would be Annual leave and Sick leave. Adjustments are typically applied by a user via Daily Details as needed, or can be imported from file. It’s very important that Adjustments are correctly configured and applied as paid or unpaid. (Unpaid will result in Short Time.)
Approval Bypass is a feature of Jarrison Time Approvals that allows for the first approval tier to be approved without any exceptions being cleared.
Approvals are a system-wide setting that forces users to correct Exceptions and then lock periods from further editing, ready for submission to payroll.
Jarrison Time allows for up to three tiers of Approvals: Daily Summary (timesheet), Pay totals, Department totals. Starting at timesheet level, each tier needs to be approved before the next one can process.
An Area in Jarrison Time refers to a GPS location with a set radius, which designates a permitted T&A clocking area for JT Clock users.
The Area Schedule is used in conjunction with JT Clock to determine where JT Clock users should clock on a given day.
Authentication in the context of access control or T&A is the means by which a person identifies themselves to biometric devices for clocking purposes.
In Jarrison Time it is possible to allow employees to earn unapproved overtime when working additional hours. The unapproved time must then be authorized (to change to payable OT) or declined by a user. Authorization categories are setup so the system knows where to send approved or declined time.
A biometric device is a type of device (also known as a reader), usually wall-mounted but can be handheld, used to authenticate a person’s identity by recognizing some part of their body. Jarrison Time is directly compatible with a wide range of biometric devices covering the following means of authentication: Fingerprint, Face, Palm. Tags and PINs can also be accepted if the device supports it.
Bouncing is a system-based method of assigning Day Programs to employees based on their clocking times. The selection of Day Programs the system can apply and when to apply them needs to be configured.
Breaks in Jarrison Time are used to allow time off duty during the day. Breaks must be correctly configured and applied as paid or unpaid. (Unpaid breaks affect Target Time.)
Clocking can refer to the action of authenticating on a biometric device, or the result of that authentication which is a transaction containing basic personnel data, and time and date of the authentication.
Jarrison Time uses Clocking Groups to group devices together to determine where group member Time & Attendance clockings come from. Clockings from devices outside the group are then considered as Access clockings.
Clocking Groups can be assigned by users or by Third-Party Import.
A counter in Jarrison Time is a type of field used to track incidences of certain events e.g. Absence, Shift Count etc.
Counters typically derive their values in Day Programs or Pay Groups and are then used for reporting or other calculations.
Day Programs are the way Jarrison Time stores all rules regarding daily shift details, such as shift start and end times, when to issue NT or OT, break times, should late arrivals, early departures, short time be tracked, etc.
Day Programs are linked via Shift Pattern, or applied by user using Day Schedule or Alternate Day Program options (can also be imported).
The Day Schedule is a user-based method of assigning Day Programs to employees, usually when they follow a working pattern that changes often and Bouncing is not suitable.
The Device Engine is a service type of application that should be set to automatically start and always be running in the background. Its purpose is to communicate with any hardware or external databases per configuration, as well as perform automated tasks for Jarrison Time e.g. backups or email reports. It only can run on one machine and is considered a user to the system (i.e. to have the engine on a server and Jarrison Time installed for a user would require two user licences).
eSkan devices are mobile devices used for validating the driver’s licence cards, typically used outside office parks or residential complexes. eSkan devices can be integrated with the Visitors module in Jarrison Time.
Exceptions in Jarrison Time refer to any T&A events which are not normal or expected, and indicate something amiss which needs attention. Examples of Exceptions include Missing clockings and Absence.
The File Creator is a built-in tool used to create files for exporting data from Jarrison Time to payroll, or other software. The File Creator can create a flat ACSII file, comma-separated file, or an Excel-format document. The content layouts of the export typically need to be known before configuring a file layout as each organization as their own requirements. There is no limit to the number of exports that can be created.
The In/Out Register is a screen that displays who is on or off site, providing a listing can be filtered according to various attributes. The list is generated according to the devices that have been marked for tracking this.
An interface is a piece of software used by Jarrison Time to handle communication between the time and attendance software and specific hardware i.e. biometric devices that are part of the clocking system. Interfaces should be installed on any machines that interact with hardware directly. E.g. if you are installing Suprema biometric devices the server will require the Suprema interface.
Job Costing is a licensed Jarrison Time module that enables the tracking of Time Categories and/or Counters for specific Jobs and Actions. E.g. employee clocks for two hours at the warehouse and then two hours at the factory, earning four hours NT and two hours Warehousing time and two hours of Factory time. Employees can be linked with Grades, which are linked with Rates, enabling costing to be calculated.
JT Clock is a licensed feature that allows Jarrison Time to connect via the Internet and collect clockings from JT Clock Myself or JT Clock Team app users. Clockings can be imported optionally with GPS location and photo.
JT Clock Myself is an Android-based app used for personal clocking (a person clocks themself on their own phone). It sends the clockings back to Jarrison Time via the Internet.
JT Clock Team is an Android-based app that can be used to clock many people on the same device. It sends the clockings back to Jarrison Time via the Internet.
JT Enroll is a free standalone Jarrison Systems product that can be used to capture employee fingerprints from remote sites, to send back to Jarrison Time users for importing.
JT File Arranger is a standalone Jarrison Systems product that can be used to transfer clocking files from the export location of an external system to the import location of Jarrison Time. No licence is required for use.
JT Lite is a licensed version of Jarrison Time used only for access control purposes.
JT Live is a licensed module of Jarrison Time that permits instant visibility of clockings in the software (as opposed to waiting for clocking imports) and enables greater access control functionality, namely anti-passback and zone sequencing. JT Live runs as a service on the same machine that hosts the engine. Only Sagem Morpho and Sigma devices are compatible with JT Live.
JT Monitor is a companion service to the Device Engine and JT Live. JT Monitor can be set to check the status of the engine and some other critical system aspects, and notify recipients of potential issues. It can also be used to automatically restart the JT Live or engine service if it has stopped for some reason. No additional licensing is required for JT Monitor.
JT Support is a licensed Jarrison Systems product, used primarily for managing multiple backups.
A JTR file is the file created when Registration details are saved by a user in Jarrison Time. The filename will be the site name, the extension is .jtr (Jarrison Time Registration). The file should be sent to supplier for activation codes.
These are devices connected to a network through which they communicate with Jarrison Time. The devices must have static IP addresses.
The Leave module is a licensed module in Jarrison Time that allows for leave balance accumulation and reporting.
Lockdown Dates are used in Jarrison Time to prevent changes from being made to certain system aspects prior to a specified date. Lockdown dates can be independently applied for general T&A, for Leave, or for the Day Schedule.
The Override option corresponds with the Lockdown Dates feature in Jarrison Time. Override allows specified Users to make changes for a certain date range, for a limited time on a once-off basis. E.g. All users can be prevented from making any system changes prior to January 2021, however user Jim is set to be allowed to make changes to anywhere in 2020 – but can only do this until the end of today.
Overrides are applied from User Profiles.
A Multiple Action is some kind of change that can be applied to either one person or a group (filter) of people simultaneously. For example an adjustment Multiple Action could be used to give a single employee a month of leave, or a group of employees a single day of leave.
Note that some Multiple Actions cannot be reversed, if applied in error to a group they will need to be individually corrected.
In Jarrison Time it is possible to pre-approve employees for overtime as opposed to letting them earn regular unauthorized overtime that later requires approval. Employees still need to clock to earn the pre-approved time or it will remain as unauthorized.
In Jarrison Time Pay Groups contain the rules for the pay cycle. E.g. Weekly or Monthly duration, Minimum NT requirements before OT, etc.
Pay Groups are assigned to people by users or Third-Party Import.
Pay Totals in Jarrison Time are Period Totals which have had the Pay Group rules applied.
Period Totals in Jarrison Time are the values of the daily totals for the period, added together.
Permissible Time is a configuration of Adjustments, Day Programs, and Pay Groups allowing absence of time for employees without issuing them Normal Time or resulting in Short Normal Time.
The Queue is a listing of actions waiting to be processed by the Device Engine.
Reminders are calendar-based notifications that can be set on individuals or groups of people. Reminders can be used for anything from birthdays to expiring contracts.
The Report Creator is a built-in tool used to create or modify reports. There’s no limit to the number of reports that can be added in Jarrison Time.
In Jarrison Time it is possible to “push” or “pull” clocked times to a specified time, as a method of rounding E.g. a 15 minute “pull” revision set at 08h00 will result in any clockings between 08h00 and 08h15 being revised to 08h00. This would be an example of a grace time revision, allowing employees to arrive late without penalty.
Revisions are appplied in Day Programs.
Roundings are used in Jarrison Time to produce rounded numbers, and can be customized as required. They can be applied to clockings, or calculated time results. Roundings on clockings are discouraged in favour of Revisions.
Roundings can be applied from Pay Groups or Day Programs, on clockings and/or on Time Categories.
In Jarrison Time Shift Patterns are used to decide what kind of daily rules to apply for people by mapping Day Programs onto days of the week. Shift Patterns can be set for varying periods of time, and allow working time Restrictions to be applied. Shift Patterns can be applied to employees by users or Third-Party Import.
The Jarrison Time Device Engine allows for the triggering of sirens via biometric device relays. To use this a schedule needs to be configured and applied to relevant devices, and the Engine connections with those devices must be stable.
The status bar is found at the bottom of the main Jarrison Time window. It contains information about the user currently logged in, licence, filters applied, and application version.
In Jarrison Time Target Time refers to the number of hours employees are expected to reach during a shift. It is usually calculated by subtracting unpaid breaks from the total time between shift start and shift end.
Target Time is required in Day Programs.
Time and attendance refers to keeping track of employee work absence and hours. Jarrison Time is T&A software, its primary purpose is time-tracking and hours calculations based on authenticated clockings.
T&A can also be used to indicate clockings or devices which will contribute worked hours towards Pay Totals. If devices are not being used for T&A then they are being used for access control and their clockings will not affect totals.
Time Categories in Jarrison Time are a type of field used to store time values e.g. Normal Time, Overtime 1.5, Overtime 2.0 etc.
Time Categories are usually issued by Day Programs and later have rules applied by Pay Groups, although Time Categories can also be manipulated through Adjustments or Day Program formulae.
Time Zones are used by Jarrison Time to allow or disallow clocking access on devices. Time Zones are associated with Access Groups.
Users in Jarrison Time are the people logging in and using the software. Also known as operators or end-users. Each user in Jarrison Time requires a licence. It is recommended that all users of the system have their own login, for security and logging purposes.
The Visitors module is a feature of Jarrison Time that allows management of people’s access without having them in the system as employees. No additional licensing is required to activate the Visitors module.
Web Server is a clocking system allowing for clockings to come from devices that have no network connection, but have either direct Internet or a GSM SIM card to enable the transfer of clockings. The clockings are collected by the Web Server service and then imported by the site database.
A Web Server device is one that is communicating with Jarrison Time via a Web Server and an Internet connection, or GSM SIM card. Due to this the response times are generally slower than LAN/WAN IP devices.
Workflow in Jarrison Time refers to the assignment of supervisors, to form a hierarchy for approval of selectively included tasks like Overtime Authoriazation or applying Adjustments. Meaning if the designated Task Initiator performs one of the tasks included in Workflow, they are creating a task for the person they report to, whom will be notified via email that they have a new task. They need to then approve or reject the task, and the task will either return to the Initiator or move to the next person in the Workflow, if there is one. If there is only one level of approval, or when the task is finally approved by the top level, the task then moves out of Workflow and is treated as normal in the system.
